Overview

If you have your own mailing list, you can upload it directly when building a campaign. We accept CSV and Excel files. This guide explains the required format, field names, and tips for ensuring high deliverability.

Accepted File Formats

  • .csv - Comma-separated values (most common)
  • .xlsx - Microsoft Excel workbook
  • .xls - Legacy Excel format

Required Fields

Every record in your mailing list must include these fields:

  • Address Line 1 - Street address (e.g., "123 Main Street")
  • City - City name
  • Province - Two-letter province code (e.g., ON, BC, AB, QC)
  • Postal Code - Canadian postal code in A1A 1A1 format

Optional Fields

Including these fields enables personalization and better targeting:

  • First Name, Last Name - For personalized greetings (e.g., "Dear Sarah,")
  • Company - Business name for B2B campaigns
  • Address Line 2 - Suite, unit, or apartment number
  • Phone, Email - For multi-channel follow-up campaigns

Formatting Tips

  1. Use a header row - The first row should contain column names matching the fields above
  2. One record per row - Each row represents one recipient
  3. Remove duplicates - Duplicate addresses waste postage
  4. Verify postal codes - Incorrect postal codes cause undeliverable mail. Use our Address Verification service to clean your list automatically.
  5. UTF-8 encoding - Save your CSV with UTF-8 encoding to preserve French characters and special symbols

Here is what your CSV file should look like:

Address Verification

We strongly recommend running your list through our Address Verification service before mailing. This service validates each address against the Canada Post database, corrects minor errors, flags undeliverable addresses, and applies NCOA (National Change of Address) updates for recipients who have moved. It typically improves deliverability by 5-15%.
